Brief overview of how the RxPOMS system functions:

1. Documents are received via fax or in hard-copy form.

 By replacing your fax machine, with a fax server, your incoming faxes will be stored in a digital format. If you have order sheets that are not faxed to you, you may use a digital scanner to create digitized documents.

2. Documents are added to the RxPOMS database

Any authorized user on the computer network can add a new document to the RxPOMS database. User enters critical order data from the highly intuitive, user-friendly data entry screen.

3. Orders are automatically routed to the correct person, and each users work queues are instantly updated.

At this point, depending on the specific type of order, Pharmacists or other technicians will review the order.

As each step in the order process is complete, the status is immediately updated.

Alerts:

RxPOMS is also capable of sending alert messages regarding the status of any order or an order queue. For example, if an order is not where it should be by this point in time, an alert message may be sent. If a new order has been sitting for too long in the “In box”, a message alert may be sent. If one particular pharmacist’s queue contains more items than it should, an alert may be automatically sent to pharmacy managers. These “alerts” may also be sent automatically via e-mail. This feature is especially valuable to managers who find themselves away from the office, but like to be informed of order problems.

Reports:

Pharmacy management can view real-time status reports showing the status of every current order. They may also view the queues of all the RxPOMS users to check for backlogs at particular points in the order flow. In addition to current orders, managers may view history reports that show how much time an order spent at each Station or point in the order process. This information may be utilized to adjust pharmacy operations to adjust manpower allocations.

Audit Trail:

RxPOMS offers a complete audit trail for all documents. Know who accessed any document and when. In addition to keeping track of the date and time, RxPOMS keeps track of the user that accessed the document, and what fields of information they altered. Even if a user only “looked” at an order, this information is tracked.
